CY2026 Terms and Conditions

Section I: General Terms and Conditions

By authorizing your son/daughter/grandchild to attend Envision Robotics programs (i.e., Summer Camps, PA Day Camps, Weekday/Weekend Classes, Drop-In, and other classes), the parent/guardian agrees to the following terms and conditions:

Participant Drop-Off/Pick-Up – Participants are expected to be dropped-off at 9 am and picked up at 4 pm, unless Extended Care has been arranged. Extended care extends the times from 8 am to 5 pm.
Lost Items – Envision Robotics is not responsible for personal items that are lost or stolen. Please minimize the number of personal items brought to camp, especially electronics, to reduce risks of loss or damage.
Personal Devices – participants are not required to bring personal devices such as phones. However, we understand that parents would like to be able to communicate with their children. We ask that students limit their use during instructed activities and if necessary, use during breaks, lunch, or end of day.
Promotional Photos – you grant permission to Envision Robotics to use photos, videos for promotional purposes in our studio, on our website and social media accounts. Please advise if you don’t want your child featured in photos.
Personal Information – the information we collect is confidential and used only by our staff. We are committed to respecting your privacy the privacy of our members, their families, and our employees, by adhering to the privacy principles set forth in Schedule 1 of The Personal Information Protection and Electronic Documents Act.
Participant Information – upon registration, we ask that you provide us with any important information regarding your son/daughter to ensure that they will have a positive experience in our programs. We request that the parent/guardian provide current information that includes:

Emergency Contact name and number
- Medical information including allergies, physical injuries, or if your child is feeling ill that day. All
information is kept confidential.
Camp Program Activities – students involved in some camp programs, such as the drone camp, RoboMaster, UGOT, and other working with very expensive platforms and equipment, will also be expected to participate outside and inside and behave responsibly.
Medical Release – Envision Robotics makes every attempt to provide a safe and secure environment. There are times when illness or accident may occur and immediate medical attention is necessary while participating in activities. This is your permission for the leader in charge, or designate, to make arrangements for qualified medical attention, including transportation, for your child in the event of an emergency, without your prior approval. You will be notified by the quickest means possible using the contact information provided. You acknowledge that you are responsible for medical expenses including transportation, due to your son/daughters injury or illness.
Medication Management – you agree that no one at Envision Robotics is authorized to give over-the-counter medication without permission. Our staff are not medical professionals and have not been trained in medicine or administration of medicine.
Participants needing injections (e.g., Insulin, etc.) or inhalers will be required to self-administer their medication.
Parents/guardians are asked to make Envision Robotics aware of any known allergies, and if necessary, you are responsible for bringing an EpiPen to camp.
You agree that it is the responsibility of all parents/guardians to retrieve their participant/attendee’s medication at the end of the programs/classes.
Envision Robotics is not liable for any medication left behind.
Emergency Medication Assistance – in the event your child requires medication in an emergency situation and is unable to self-administer, a staff-member will assist with medication administration to the best of their abilities. Parents much complete the Emergency Medication
Assistance Form.
Negligence – you understand and acknowledge that participation in Envision Robotics involves a certain degree of risk. After considering the risk involved, and having full confidence that reasonable precautions will be taken to ensure the safety of your son/daughter, you grant permission for them to participate fully in activities. Envision Robotics staff, partners, and facility providers are waived and released from liability
for any injury or illness that occurs while in one of our programs, resulting from negligence.
Willful Destruction of Robots, Tablets/Laptops, and Equipment – we review and regularly remind students how to safely handle robots and equipment in the studio and we understand that accidents happen and equipment gets damaged and need to be repaired/replaced from time to time. In the event that your child willfully and intentionally damages Envision Robotics equipment you acknowledge that you will be responsible for costs to either repair or replace the equipment. We kindly ask that you remind your child to handle our equipment safely and in accordance with the instructors directions.
Dismissal for Inappropriate Behaviour – Envision Robotics has the right to dismiss any student if his/her actions or attitudes are inappropriate to the general atmosphere of the program. Inappropriate behaviour includes swearing/using bad words, watching inappropriate material on the internet, theft, inappropriate use of equipment, damage to facilities, verbal and physical violence, bullying, harassment, against staff or
other participants. No refunds shall be issues for dismissal.

Section II: Emergency Medication Assistance Form
Please complete this section ONLY IF your child has a severe medical condition that may require emergency intervention.

The first course of action is for your child to self-administer to prevent and/or correct a medical event. Our staff are not medical professionals and have not been trained in medicine or administration of medicine. However, in the event your child is unable to self-administer, a staff-member will assist with medication administration to the best of their abilities. The protocol beyond emergency medication assistance is to call 911 for professional medical assistance. Parents/guardians will be called as well.

How can we help?

Multiple Program Codes (NEW for 2026!)

We introduced a new credit/discount code policy to make our programs more accessible and rewarding for all families. Parents enrolling a single child in multiple programs will now receive a similar discount to those registering multiple children.

Families registering two or more children will continue to receive 10% off the second and third child’s registration.
Families registering a single child in two or more programs or camps will receive 10% off the second and third program.
Multiple program discounts will apply to Extended Care fees (10% off)
Discounts applied to lower cost programs
To qualify, all programs must be registered in the same transaction.

How the Parent Review Credits Work

PARENT REFERRAL CODE

Trial Class — $10 Credit per family
Refer a new family who attends a trial class and receive a $10 credit.
Weekly Program — $25 Credit
If a family you refer registers for one of our weekly programs, receive a $25 credit.
PA Day or Winter Camp — $10 Credit
Receive a $10 credit when a referred family registers for a PA Day or Winter Camp.
Summer or March Break Camp — $35 Credit
Receive a $35 credit when a referred family registers for a full-week Summer or March Break Camp.
Birthday Party — $25 Credit
Refer a family that books a birthday party with Envision Robotics and receive a $25 credit.
Birthday Party Host — $15 per Child
Host a birthday party with us and receive a $15 credit for each party guest who subsequently registers for one of our programs.
Referral Credit Expiry:
New referral credits will be valid for 5 months from the date they are issued.
Any referral credits issued before this change will retain their original value and will remain valid for 6 months from Sept 12 2026
Referring parent must be an existing customer
No limit on the referral amount or the number of referrals

We do not offer refunds for classes so please be absolutely sure you can attend the date (s) you booked – otherwise we recommend not booking.

Make-Up Policy

Since we schedule and set up workstations in advance, we ask that you give us prior notice if you’re unable to attend your class.
Please provide 24 hours’ notice if you cannot attend your class. For illness, same-day notice is required before the start of class.
Students may use one make-up class per Level (8 classes) when advance notice is given. Without notice, the absence will be considered a ‘no-show’ and the make-up opportunity will be lost. Thanks for your understanding!
You must book your make-up class within your 8 week period. We can arrange a make-up for you anytime we are open as long as their is availability in the timeslot.
We are unable to provide refunds or credits for missed classes or absences.
As a small business, managing missed classes and schedule changes can be challenging. We appreciate your support in following our policies and thank you for your understanding.

Emergency Situations

In the event your child is severely injured (e.g., broken limb) or a family emergency (e.g., funeral) prior to starting a weekly class a credit may be issued and/or the start date shifted
A credit may be issued for the value of the unused portion
Any credit issued under the above circumstances will expire after 12 months

Schedule Conflicts:

We expect parents to attend the programs that they book – otherwise we recommend not booking until you know can attend
Regular Programs – in the event a schedule conflict arises we may consider a temporary pause of a few weeks with advance notice (2 weeks)

A credit may be issued for the value of the unused portion
Any credit issued under the above circumstances will expire after 12 months

Schedule Conflicts:

We expect parents to attend the camps and programs that they book – otherwise we recommend not booking until you know can attend
Camps – in the event you have a conflict with your camp we offer the following:

If a camp date is available for an earlier week we may be able to shift your child to that week
We can’t shift camps to weeks later in the summer season
We allow parents to find other families to take their camp spots (but the economics of that will need to be worked out between the families)
